Booking and Accommodation Terms and Conditions

Bookings at Lowfield Farm Holiday Cottages are subject to the following terms and conditions as agreed to at the time of booking.

1. A contract between you and Lowfield Farm Holiday Cottages will come into existence when we receive payment and accept your booking by issuing a confirmation of booking for the holiday dates shown in the rental agreement. The contract binds you & all the members of your party. It is your responsibility to ensure that all members of your party accept the terms of the contract set out in these terms & conditions of booking. Failure to disclose all relevant information or comply with these terms may lead to termination of the contract & loss of the booking.

2. A non-refundable deposit of £300 is payable at the time of booking. Bookings made less than six weeks before your arrival date the full amount is due at time of booking.

3. A Good Housekeeping Deposit of £200 is to be paid in cash on arrival and will be returned on departure once checked that the property is left clean & tidy with no damages. Damage and breakages must be reported and paid for, prior to departure.

4. The full outstanding balance must be paid so as to arrive no later than six weeks before the commencement of your holiday. If the balance is not received by the due date then your holiday will be treated as a cancellation and you will remain liable to pay the balance of the rent. If there are any reasons for the delay in payment written communication must be made to Lowfield Farm Holiday Cottages so that the booking is not cancelled Lowfield Farm Holiday Cottages in error.

5. Payments may be made by electronic bank transfer, cash or cheque currently.

6. Cheques should be made payable to Lowfield Farm.

7. Any charges raised against Lowfield Farm Holiday Cottages by their bank for handling dishonoured cheques, bank transfers or any other payments will be passed onto the Guest who are liable to reimburse Lowfield Farm Holiday Cottages.

8 All cancellations must be immediately notified by telephone and then in writing. If you cancel your holiday more than 6 weeks before it is due to start then your deposit will be forfeit. If you cancel less than 6 weeks prior to the holiday then the full balance remains due and is not refundable.

9. The dates of the holiday may be changed providing the property is available for the new dates and Lowfield Farm Holiday Cottages accept the change.

10. Subject to the Cancellation provision above, as soon as the booking is received and accepted by Lowfield Farm Holiday Cottages and you are in receipt of the Booking Confirmation, you are liable for payment of the balance of the rent, along with any additional charges that may be due in relation to the Holiday.

11. We strongly advise that you take out comprehensive travel insurance. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation.

12. Your booking will not be cancelled by Lowfield Farm Holiday Cottages except in exceptional circumstances beyond our control. Notification will be given of the cancellation as soon as possible and we will promptly refund all payments made for your holiday. Our liability for cancellation will be limited to payments made to us.

13. The number of persons using each accommodation unit at any time must not exceed the numbers advertised for that property and only those people notified to us before arrival can occupy the accommodation. We reserve the right to terminate the booking without notice and without refund in case of a breach of this condition. Maximum Capacities currently, The Farmhouse 18 and The Dairy 14 including The Cottage. These maximum numbers include adults, children and infants in your party.

14. Bookings cannot be accepted from persons under twenty one years of age.

15. We ask guests to bear in mind that many properties are period properties and were built before the days of damp proof courses and cavity wall insulation, so some properties may show signs of damp or smell musty. This is particularly pertinent if your party includes elderly/infirm persons or very young children. Should traditional cottage features (steep stairs, low ceilings, uneven floors etc.) be a problem for any member of your party, you should consider this when selecting a property before making any booking. Please remember that when you stay in unfamiliar surroundings to familiarise yourself with the layout of the property (to enable a quick exit in the event of an emergency) and any quirky (unfamiliar to you) features.

16. Lowfield Farm Holiday Cottages are located in a rural location so please be tolerant when it comes to animal sounds and odours, tractors, farm life and working hours – it’s all part of being in the country!

17. Where an open fire/wood burner is available, Lowfield Farm Holiday Cottages will provide a starter pack of fuel, but additionally fuel may need to be purchased separately on request.

18. Lowfield Farm Holiday Cottages reserve the right to refuse a booking without giving any reason.

19. Lowfield Farm Holiday Cottages or our representative reserve the right to enter the accommodation unit at any time to undertake essential maintenance or for inspection purposes.

20. Tenancies normally commence a 3PM unless otherwise agreed and guests are required to vacate the apartment by 10AM PM on the day of departure. This allows the accommodation to be thoroughly cleaned and prepared for incoming guests. All beds used must be stripped, dishes washed and rubbish bins emptied. Furniture must be put back in original position Black bins to be used for all non – recyclable rubbish. All recycling to be placed in bins/boxes provided outside the properties. Nappies must be double bagged and placed in bin liners in the black bins. Pets or smoking anywhere on the premises will result in immediate termination of occupancy and forfeiture of all payments. This must be strictly adhered to and any damage or extra cleaning caused by pets or smoking will be at the expense of the guest.

21. Good Housekeeping Deposit – In making a booking you accept responsibility for any theft, breakage or damage caused by you or any member of your party and agree to indemnify us in full for any loss that we may incur as a result. The Good Housekeeping Deposit will be returned at the end of the holiday of the end of your holiday less the cost of any damage/breakages.

22. Damage to property – Please treat the facilities & accommodation with due care so that other guests may continue to enjoy them. In the event that you notice damage in your accommodation please let us know immediately so that we can take the appropriate action. If there have been any breakages during your stay, we would be grateful if you could replace them or advise us before you leave. The accommodation will be inspected at the end of the holiday and you may be charged for any loss or damage found.

23. Please lock the doors and close the windows, turn off lights and turn the heating to a reasonable level or off when you leave the accommodation unit unoccupied for any length of time.

24. We reserve the right to make a charge to cover additional cleaning costs if the client leaves the property in an unacceptable condition.

25. Please note that in the event that any keys issued are not returned at the end of your stay, then the cost of replacement will be charged to you. Currently £10.

26. You or any member of your party, may in no circumstance re-let or sublet the property, even free of charge.

27. No day visitors

28. The internet connection is available (at no extra cost) subject to technical availability.

29. The Lowfield Farm Holiday Cottages shall not be liable for any temporary defect or malfunction of any equipment, machinery or appliance in the building, grounds or hot tub failure if one is provided.

30. All inventory must remain in the property it was in at arrival and not be taken to another property.

31. We reserve the right to terminate a holiday without compensation where the unreasonable behaviour of the persons named on the booking (or their guests) may impair the enjoyment, comfort or health of others.

32. Any problem or complaint which the client may have concerning their holiday must be immediately reported directly to us/our representatives and we will endeavour to put matters right. Any complaints not reported to us at the time and only reported after the client has returned from holiday will not be considered by Lowfield Farm Holiday Cottages.

33. We reserve the right to make reasonable amendments or additions to these terms and conditions without notice.

34. This property is privately owned and is located next to our home. We expect all guests to enjoy the facilities and treat the property with the same respect that they would with their own house.

35. No music or entertainment after midnight at any accommodation.

36. Hot tub disclaimer

a. The hot tub / spa is used at your own risk – Lowfield Farm Holiday Cottages cannot be held responsible for your own safety

b. Lowfield Farm Holiday Cottages and the owners do not accept any responsibility for accidents including slips and falls which have occurred due to misuse of the hot tub / spa or due to inappropriate behaviour in the vicinity of the hot tub / spa

c. The hot tub / spa is available for use between 10.00 and 22.00

d. Never use the hot tub / spa when alone

e. The hot tub / spa is not to be used by children under the age of 16

f. The hot tub / spa can only accommodate a maximum of 8 people

g. Pregnant women should not use the hot tub / spa

h. Bathers with heart or circulatory or skin conditions or who are subject to fits, who are taking drugs for circulatory or cardiovascular or nervous systems disorders should not use the hot tub / spa

i. People who are subject to incontinence should not use the hot tub / spa

j. People who have suffered diarrhoea in the past 14 days are not allowed in the hot tub / spa

k. Do not wear oils or make up, skin creams and tanning lotions / creams in the hot tub

l. Please shower and use the toilet before entering the hot tub / spa

m. Take special care when entering or leaving the hot tub / spa

n. Please do not sit on the sides of the hot tub / spa as there is a concrete area surrounding the hot tub / spa

o. Please do not use glassware in the hot tub

Please do not swallow water from the hot tub / spa it contains chemicals

q. Bathers should not exceed 15 minutes in the hot tub in any one session

r. Please do not use the hot tub / spa after eating a heavy meal

s. Do not sue the hot tub / spa after drinking alcohol

t. Do not use the hot tub / spa during a lightening or electrical storm

u. All damages to the hot tub / spa must be paid for prior to departure

v. Do not use any chemicals to the hot tub / spa or add anything to the hot tub / spa

w. Children under 18 must be supervised by their parents/guardians at all times
